How to qualify leads on WhatsApp and unify the conversation across all your channels
You can qualify leads in any industry on WhatsApp. How a StudioChat agent is set up, how it connects to other channels, and how the conversation gets unified.

Qualifying a lead means finding out whether a person has the problem, the interest and the ability to move forward before spending a salesperson's time. It works for any industry that receives inquiries from interested people, from a real estate agency to a services company or a distributor. What changes from one industry to another is the questions, not the method.
What does it mean to qualify a lead on WhatsApp?
It means an agent asks the questions a salesperson would ask at the start, records the answers and decides whether the lead moves forward, waits or gets discarded. It is not an interrogation: it's a few questions, one at a time, in the order the person can answer without effort.
Which questions are worth asking?
Between three and five, adapted to each business:
- What they need or what they are looking for. It defines what this is about and who handles it.
- Something that lets you place them: area, type of product, company size.
- Timeline. It is the strongest signal of intent.
- Budget or payment method, as a range, and only after you have earned some trust.
- Whether they want to move forward with a meeting, a visit or a proposal.
How do you set up a StudioChat agent to qualify leads?
It is built on how your best salesperson already qualifies. The process is short:
- You show us how you handle a lead today: the questions you ask, the criteria for deciding whether they move forward and what you do in each case.
- We build the agent with that tone and those rules. It is not a template by industry.
- We connect it to your systems: the CRM where the lead is recorded, the salesperson's calendar. If the integration doesn't exist, we build it, and we don't charge for integrations or for setup.
- We define when the lead goes to a person, and with what summary.
- We test with real conversations before opening it to the public.
How does it connect to different channels?
The same agent runs on WhatsApp, on the chat of your website or app, by email and by voice, with a single knowledge base and the same rules. You don't need to build a different agent for each channel or move your team to another tool: the agent connects to the platforms you already use. For WhatsApp we use the official WhatsApp Business API connection.
What happens if the same lead writes through several channels?
It is a common case: a person asks on WhatsApp, then sends an email and later writes through the website chat. If each channel is a separate conversation, the salesperson receives three inquiries from the same person and the lead has to repeat what they already said.
StudioChat Ops recognizes several conversations from the same person (by their phone number, their email or whichever identifier applies) and brings them together into a single contact, with the history in plain view. The agent and the salesperson see what has already been discussed, no matter which way each message arrived.
What does it look like at a real estate agency?
It's a good example because leads arrive through several channels and go cold fast. Someone who writes about a property expects an answer within minutes. The agent asks what they are looking for (buying, renting or investing), area and type of property, timeline and whether they want to visit. If the person has a short timeline and wants to see the property, the agent hands them to an advisor with the summary. If they are just exploring, it keeps them in the conversation with useful information.
If the lead came from an ad that opens WhatsApp, and the company replies within 24 hours, Meta opens a window of up to 7 days with no charge for service messages. That is enough to sustain the conversation for several days, which is what many real estate leads need before deciding.
When should the lead go to a person?
When they meet the criteria you defined, ask to speak with someone, or ask a question that requires judgment. The handoff has to include the summary: what they need, who they are, what timeline they have and what was discussed.
How do the questions change depending on the lead source?
A lead that comes from an ad arrives with little context and a strong wish to solve something fast. One that comes from a referral already has an idea of what they want and expects to be treated differently. One that writes from the website has usually read something and asks something specific. The agent can adapt its first question to the source, if the platform records it: to the ad lead it asks what they need, to the referral it asks who recommended you and what they were told.
That information also organizes measurement: knowing where each lead came from tells you which source brings the ones that move forward.
When and how many times should you follow up?
Most leads don't reply the first time. Follow-up has two rules. The first is to respect the 24-hour window: while it is open you can write in free text; once it closes, you need an approved message template. The second is not to push too hard: two or three spaced attempts, each with something new to say, work better than five identical messages.
For leads that arrive from click-to-WhatsApp ads, and that were answered within 24 hours, Meta opens a window of up to 7 days with no charge for service messages: it is enough to make several attempts with no channel cost.
What does a complete conversation look like?
A hypothetical example, from a services company:
- Lead: Hi, I'd like a quote for a maintenance service for three offices.
- Agent: Hi, thanks for writing. To point you in the right direction, which area are the offices in?
- Lead: The north zone of Buenos Aires.
- Agent: Perfect. When would you need to start?
- Lead: Next month.
- Agent: Got it. Would you like us to schedule a call with someone from the sales team to put the quote together? I have room tomorrow at 11 or Thursday at 3 pm.
- Lead: Tomorrow at 11.
- Agent: Done. Which email should we send the invitation to? Type it right here.
The agent asked four questions, recorded the answers in the CRM and scheduled the meeting, and the salesperson receives the summary: three offices, north zone, next month. It did not ask for the budget, which is a question for the salesperson once there is more trust.
What data is worth saving in the CRM?
The data the salesperson uses: name and company, lead source, what they need, timeline, budget range if they gave one, the channel they wrote through, date and time, qualification status and the summary of the conversation. One extra field that tends to be forgotten: the reason for discarding, when the lead doesn't move forward. Over time, it is the data that teaches the most about what to improve.
Do you have to say it's an AI agent?
Yes. It is honest with the lead and avoids misunderstandings. It's best to say so at the start, in a simple way, and offer to talk to a person if the lead prefers. We cover the topic in another post on the blog.
How do you measure whether it works?
With five numbers: leads who write in, leads who finish the qualification, leads who go to a person, meetings scheduled and meetings that actually happen. The first two measure whether the agent keeps people engaged; the two in the middle, whether it qualifies well; the last one, whether the lead was a good one. If many scheduled meetings don't happen, review the questions, not the agent.
What changes between a B2B lead and a B2C lead?
With a B2B lead, the person writing usually represents a company, and qualifying them includes knowing which one, who decides and what the buying process is: timelines are longer and the conversation is more consultative. With a B2C lead, the decision belongs to the person writing, the cycle is shorter and response speed weighs more. The agent can handle both with the same tools, but the questions, the tone and the handoff criteria change. That is why each agent is built on how each company's best salesperson already qualifies, and not on a generic template.
How do you test before opening the agent to the public?
With simulated conversations and with a small group. First, the sales team writes to the agent the way a real lead would, including awkward cases: someone who doesn't want to share details, someone who asks for a starting price, someone who writes in another language. Then it is opened to a share of the traffic, with a person reviewing every conversation. Only when the answers match what the team would do is it expanded.
What is the difference between qualifying and selling?
The agent qualifies; a person does the selling. Qualifying is sorting: who they are, what they need, when, whether they fit. Selling is negotiating, adapting and closing, and it takes judgment and relationship. An agent that tries to close complex sales over chat tends to scare the lead off. One that qualifies well and hands off to the salesperson with the summary makes the salesperson arrive at the meeting knowing who they're talking to. That division of labor is the one that works best in most sales processes.
Which mistakes should you avoid?
- Asking about budget first. It creates rejection when there is no trust yet.
- Sending the whole catalog. One well-chosen option converts better than twenty.
- Not recording what was discussed. Every lead needs its history for the salesperson.
- Losing the lead outside business hours. A message on a Saturday night needs an answer.
